Terms and Conditions

1 THE CONTRACT

The contract will be between Poppyland Holiday Cottages Owners (referred to as us or we) and the person making the booking (referred to as you or your) and all members of the holiday party. The contract of hire will not be effective until we have received the deposit. The party leader must be at least 18 at the time of booking. All names, ages and addresses of members in your holiday  party must be listed on the booking form.

When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently confirmed in writing via a letter of confirmation sent to you by post or email.   The contract will be subject to these booking conditions and must be complied with.

2 PAYMENT

A 30% deposit of the holiday cost will be required at the time of booking. The booking will then be confirmed. The balance will be due 8 weeks prior to the commencement date.  If a booking is made within 8 weeks then full payment will be due.  Once you have confirmed the booking you are responsible for the full cost of hire even if you subsequently cancel.

3 CANCELLATIONS

Cancellation Terms

Bookings placed AFTER 16/11/2021 are covered by our Cancel Cover Policy, and are subject to the following terms:

If you cancel up to and including 2 days before check-in date for any reason OTHER THAN CORONAVIRUS ILLNESS OR SELF-ISOLATION*, you will receive a refund of 95% of the accommodation costs you have paid, plus any pre-paid extras. Refunds for payment for cancelled bookings will be released back to the cancelling guest at the latest within 2 weeks of cancellation. Cancellations made 1 day before, or on the day of arrival will not be eligible for a refund. Example: for a check-in on Saturday, you could cancel on the previous Thursday before 16.00 and be reimbursed in full, but not on Friday (1 day prior) or Saturday (day of check-in). *We are not able to cover you (or members of your party) for being unable to travel because you (or a member of your party) fall ill with Covid or are required to quarantine or self-isolate. These events can be covered by you taking out travel insurance. There are a number of policies that include cover for illness with Covid and self-isolation (example links below), and a lot of bank annual travel policies also cover this.

For this reason, we strongly recommend that you also take out your own travel insurance for UK holidays which covers booking cancellations. This is available at very affordable rates and gives you the peace of mind that you will get your money back if you need to cancel your holiday. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation not falling within the terms of our cover. COVID 19 CANCELLATION

Bookings placed after the 8th of January 2021

Should your booking be cancelled due to local/regional lockdown rendering you unable to travel you will be refunded in full.
If you are unable to take your booking due to illness, including covid, having to self isolate we will try to relet your booking and if successful we will refund in full, which may be less than you paid, less an admin fee £30.
If we are unable to re let your booking, this remains your risk and does not give rise to you receiving  a full refund. You are strongly recommend to take out uk travel insurance to cover these eventualities.
If you choose not to take out uk travel insurance then you accept full responsibility.
Please note that this applies to the name and address given on the booking form at the time of booking.

CANCELATIONS

If you have to cancel your holiday for whatever reason other than the above, please notify us as soon as possible and we will endeavour to re-let the accommodation.

If you cancel your booking within eight weeks of the holiday arrival date you will remain liable for the full cost of the hire of the property for the holiday period.

If you cancel your booking more than 8 weeks before the arrival date, the Deposit will not be refundable, but the balance of the cost of the hire will be refunded if already paid.

If we are successful in re-letting the accommodation, we will refund your deposit, which may be less than you paid, less an administration fee of £30 and any costs we have incurred in administering your booking or making specific arrangements for you (for example where you have requested certain activities, additional facilities, etc).

TRAVEL INSURANCE

We strongly recommend that you take out your own suitable travel cancellation insurance to cover you and your party in the event of falling ill with Covid (or any other illness) and you having to cancel your holiday.

There are several options on the market which offer cover for cancellation including Covid,  www.gocompare.com is one of many comparison sites.  We are not selling, recommending, promoting any particular product and do not financially benefit from any providers.

If you choose not to take out travel insurance, then you accept responsibility for any loss should you have to cancel.

For any bookings placed after June the 9th 2020 for holidays taken after August the 1st 2020 have Cancellation Protection under Master Cancel Policy. You can cancel your holiday from 60 days up to and including 2 days before commencement for any reason other than war, terrorism and nuclear holocaust and receive your money back, not including additional extras. Cancellations made 1 day prior to, or on the day of check-in will not be eligible for a refund. We recommend that you take out your own travel insurance to cover this. If you choose not to then you accept responsibility for any loss that you may incur.

If you cancel your booking 60 days before check in, we will try to  re-let the property, if we are successful we will refund you the deposit amount which may be less than you paid, for example the final letting price was discounted, less an admin fee of £25. If we are unable to re-let then you will be responsible for the deposit and there will be no refund. We recommend that you take out your own travel insurance to cover this. If you choose not to then you accept responsibility for any loss that you may incur.

Bookings placed before 9th June 2020 are not protected by Master Cancel and are subject to the following conditions. The Hirer should notify Poppyland Holiday Cottages as soon as possible should a booking need to be cancelled. For any cancellation over eight weeks from the start of the booking the deposit will be returned, less a £25 admin fee, as soon as a replacement booking is obtained. If no replacement booking can be secured the full deposit will be retained, Poppyland will make every effort to try to re-let.  We recommend that you take out your own travel insurance to cover this. If you choose not to then you accept responsibility for any loss that you may incur. For any cancellation within eight weeks of the start date of the booking the full amount will be returned (which may be less than you paid for example the final letting price was discounted), less a £25 admin fee, as soon as a replacement booking is obtained. If no replacement booking can be secured the full amount will be retained. We recommend that you take out your own travel insurance to cover this. If you choose not to then you accept responsibility for any loss that you may incur.

Should the Hirer wish to cancel a booking in one of Poppyland Holiday Cottages properties and move it to another and/or different date the above terms also apply.

Refund payment for a cancelled booking will be released back to the cancelling guest on the scheduled date of check out of the original booking.

4. Circumstances beyond the control of the owner

If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood or destruction/damage to the property then we will try to find alternative accommodation for your dates or we will offer you alternative dates or we will refund the amount you paid. If we have to terminate your holiday for the above reasons you will be relocated/refunded/credited part of the booking fee value based on the time remaining of the booking. No additional compensation or expenses will be payable.

Arrival time on the commencement date is 4pm, and leave by 10am on the day of departure.  Failure to do so will result in a further day’s rental.

The accommodation must not be sub-let and must be used for short holiday rental only. You must not exceed the number of persons stated in the brochure and on the website.

5 PERIOD OF HIRE

Arrival time on the commencement date is 4pm, and leave by 10am on the day of departure.  Failure to do so, unless agreed, will result in a further day’s rental.

The accommodation must not be sub-let and must be used for short holiday rental only. You must not exceed the number of persons stated in the brochure and on the website.

WIFI: Wi-Fi is provided for the guest’s reasonable use. The guest agrees to reasonable and lawful usage of this service.

RIGHT OF ENTRY: We shall be allowed the right of entry to the property at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance.

6 LIABILITY

Poppyland  Holiday Cottages,  it’s employees and representatives shall not be liable for any injury, sickness, loss or damage to the property or your personal property, directly or indirectly caused by or arising from the use of the properties or access. You must take all necessary steps to safeguard yourselves and your property.

 7 CARE OF THE PROPERTY

You are responsible for the property whilst on holiday and are expected to take all reasonable care of its furniture fitting and effects. You must leave them in the same state of repair and in the same clean and tidy condition at the end of rental period as at the beginning. The property must not be used for any dangerous, offensive noxious, noisy, immoral activities or be of any nuisance or annoyance to the owner or other neighbouring properties.

When open fires or wood burners are lit, use a fire guard. Make sure the fire is extinguished before going to bed or leaving the property. Never leave the fire unattended. Do not use candles indoors. Turn off all electrical appliances before going to bed and close all doors.

8 DAMAGES AND BREAKAGES

You are legally bound to reimburse us for replacement, repair or extra cleaning costs on demand.

9 COMPLAINTS

Every effort is made to ensure that you have an enjoyable stay. However, if you have any problem or cause for complaint, it is essential that you contact us immediately to give us the chance to resolve it. We value your custom and want you to return.

10 Dogs welcome in Swallow Cottages only

We only allow two dogs per cottage, and must be notified on the Booking Application, as we will not accept certain breeds (according to size of property and dog).

£30 per dog, per stay/per cottage. No charge for assistance dogs.

Well behaved dogs are welcome but must be under proper supervision and control at all times.

  • You agree to pay for any damage caused by your dog. You will be informed of any damage found by our cleaners by no later than 24hrs departure.
  • We request all dogs have up to date vaccinations and they have had up to date flea and tick treatments. Will will ask to see vaccination certificates.
  • A pet basket must be brought as pets are only permitted on the clear understanding that in no circumstances may they lie on the bedding or chairs.
  • Pets must not be left unattended in the Property or elsewhere.
  • Pet owners are responsible for clearing up any fouling that occurs in the gardens of the Property.
  • We regret that dogs that bark continuously are not allowed at Swallow cottages. They will disturb the other guests.
  • We have a dog designated dog area, dogs are not allowed on the front lawn.
  • When you bring a muddy dog back from a walk, please clean them off using the outside tap and the coloured canine towels provided.

11 Smoking

Smoking is not permitted within any of the rooms of our properties

Data Privacy Statement: We treat any data collected during the course of making bookings or dealing with enquiries in strict confidence. Your data will never be sold. As members of Premier Cottages (a marketing collective of the best four and five star cottages in the UK) we have agreed to supply to Premier Cottages Ltd the names, postal and email addresses of all guests booking with us or proposing to book with us during the previous year, in order that these guests/potential guests may be sent a Premier Cottages brochure and sent promotional emails from time to time.

By accepting these terms and conditions you are indicating your consent to receiving these communications from us unless you let us know otherwise, which you can do at the point of booking by ticking the Marketing Notes box in the extras section. If at any time you would like your details removed from this list all you need do is to click the unsubscribe link on any of the emails or email us and we will arrange for you to be removed from the mailing list.
